Ramadan iftar event management is about getting the details right in a very short window. Guests arrive just before sunset, the fast is broken within minutes, prayer follows, and the evening then settles into conversation. The Concept WLL plans and builds corporate iftars, Ramadan tents and majlis evenings for companies, government bodies and hotels, from our production houses in Riyadh and Manama.

We handle the space: the tent or venue set-up, majlis seating, lighting, decor, staging and the timing of the evening. We work alongside your chosen caterer or the venue's kitchen, so the food arrives on time and the room is ready for it.

Corporate iftar events that feel generous, not generic

A corporate iftar is one of the few times in the year when a company hosts staff, clients and partners together in a relaxed setting. It should feel warm and hospitable, not like a conference with dates on the table.

We start by asking who is coming and what the evening is for. A staff iftar for several hundred people needs long tables, fast service and clear routes to the prayer area. A client iftar for senior guests needs a calmer majlis, quieter lighting and space for conversation. A government or community iftar may need a stage for short speeches and a separate area for media. The layout, decor and running order follow from that.

Ramadan tent design in Saudi Arabia and the GCC

Many Ramadan events take place in a temporary tent, either in a hotel garden, on a company campus or on an open site. Ramadan tent design starts with the structure and then works inward.

Structure and flooring

We work with temporary structures sized to your guest numbers, with a level floor, carpeting and clear entrances. Our temporary structures page covers the types of tent we work with.

Comfort in the evening

Cooling or heating, depending on the season and location, along with sound absorption so a full tent does not become noisy.

Prayer and washing areas

Space set aside for Maghrib prayer, with the right orientation and access to washing facilities, planned from the first drawing.

Back of house

Space behind the scenes for catering teams, storage and staff, kept out of guests' sight.

Majlis tent setup and seating layouts

The majlis is the heart of many Ramadan evenings. A good majlis tent setup balances tradition with the practical needs of a modern corporate event.

We plan majlis layouts with low seating, cushions and side tables arranged in conversational groups, often around a central feature such as a lantern installation or a coffee and dates station. For mixed events, we combine majlis areas with dining tables so guests can choose. Where needed, we create separate family or ladies' areas with their own entrances. For VIP guests, a raised or screened majlis gives a more private space.

Ramadan event decor and lighting

Ramadan event decor works best when it is rich but restrained. We design decor schemes around lanterns, warm lighting, textiles, geometric patterns and natural materials, with your brand colours used sparingly and with care.

Lighting does a lot of the work. We use warm, low lighting for the majlis, brighter but soft lighting over dining areas, and feature lighting for entrances, photo points and any branded elements. Every piece of decor, from lantern clusters to entrance arches and stage backdrops, is designed and fabricated in our own workshop, so it can be made to fit your space exactly and stored for next year.

Timing, catering coordination and logistics

Iftar timing is fixed by sunset, and it changes a little each day of the month. Everything else in the running order has to fit around it.

We build a running order that starts with guest arrival and registration, moves to the moment of breaking the fast with dates and water, gives time for prayer, and then brings out the main meal and any programme. We coordinate with your caterer on serving times, buffet or plated service, and how staff move through the space. On the day, our team manages set-up, guest flow, sound for any announcements and the call to prayer, and the breakdown afterwards.

For a corporate iftar in Riyadh, Jeddah, the Eastern Province, Manama, Dubai or Amman, we can plan site visits early in the season, because the best dates and venues are booked quickly once Ramadan approaches.

Corporate iftar event formats in Riyadh and the GCC

Corporate iftar events in Riyadh and across the region take several common forms, and each needs a slightly different set-up.

Staff iftar

Large numbers, long tables or round tables, quick buffet or family-style service, and a short programme of thanks from leadership. The priority is flow and comfort.

Client and partner iftar

Smaller guest lists, a calmer majlis, quality table settings and space for conversation after the meal. Branding is light and elegant.

Government and community iftar

Protocol for official guests, a stage for speeches, media positions and clear separation of VIP and public areas.

Suhoor evenings

Later in the night, with a more relaxed lounge feel, entertainment or traditional music, and longer opening hours for the space.

Hotel and venue Ramadan tents

Tents run by a hotel or venue for the whole month, where decor and layout need to work night after night and survive daily cleaning.

Bringing your brand into a Ramadan event, respectfully

We also plan for the end of the month. Many companies move from iftar to Eid celebrations, and decor, staging and lighting built for Ramadan can often be adapted for an Eid gathering with a few changes.

Ramadan is a religious month first, and guests notice when branding feels out of place. We use your brand through materials, colours, lighting and small details such as a branded welcome arch, table cards or a photo point, rather than large logos over the dining area. For companies that send gifts, we can design a display or collection point near the exit. Text and greetings are produced in Arabic and English using the wording you approve.
