Event Registration & Digital Check-in
Give delegates a clear arrival and your operations team a workable check-in process. We deliver registration workflows, QR check-in, badge production and attendance reporting using agreed systems, integrated with the reception desks, staff briefing and venue flow.
A registration system is a workflow as well as a screen
For a conference, exhibition or invitation-only launch, arrival starts before the venue doors open. The invitation, language choice, confirmation and admission rules need to match what a check-in operator sees. We map the journey from an approved delegate list to a validated entry and plan exceptions such as missing confirmations or an incorrect badge.
Digital ticketing integration connects the organiser’s chosen platform with the on-site admission workflow. We align ticket categories, access rules, scanning and help-desk procedures; the organiser and its provider manage ticket sales, refunds and financial settlement.
Aggregate crowd analytics combine supported check-in reports, session counts and queue observations to help the organiser understand arrival patterns and adjust staffing. Report definitions and coverage are agreed with the venue team, alongside the crowd-safety and stewarding plan.
Scope & deliverables
Registration journey
Map invitation, bilingual form fields, confirmation and delegate categories. Agree required information and avoid collecting data without an operational purpose.
QR check-in & exceptions
Coordinate scanning stations, access rules, duplicate-entry handling and a staffed help desk. Offline behaviour depends on the chosen platform and is tested before use.
Badging & accreditation
Plan approved badge fields, designs, printers and consumables with clear guest categories. Do not expose sensitive personal details on a badge.
Desk & queue production
Integrate counters, signage, power, connectivity and staff positions with accessible routes and the venue’s circulation plan.
Digital ticketing integration
Confirm account ownership, capacity rules and supported integrations with the organiser’s system. Agree supported ticket validation and admission workflows with the organiser’s provider.
Aggregate reporting & closeout
Agree report definitions, export permissions, retention and deletion. Use clearly defined attendance totals and queue observations for operational review.
What to include in a registration brief
Send the event format, venue plan, languages, approved delegate categories and client-estimated arrivals by time. Tell us whether registration is invitation-only, open, session-based or managed by a ticketing provider, and who owns the approved attendee list.
Provide the chosen platform, account administrator, required badge fields, network arrangements and data-protection contact. We agree access permissions, retention and a fallback for network or printer failures. Personal data should be shared through approved secure channels, not in the public enquiry form.
Our Bahrain HQ and Riyadh production capability support Saudi and regional events. The brief itemises equipment arrangements, software licences, training, live staffing and post-event exports, with data use governed by the agreed purpose and retention plan.
From brief to handover
- 1. Map arrivals — Confirm admission rules, categories and projected arrival waves.
- 2. Agree system & data — Review platform features, permissions and privacy requirements.
- 3. Design the check-in zone — Plan desks, printers, scanning, signage and queue routes.
- 4. Test end to end — Run registration, confirmation, scanning, exceptions and reporting.
- 5. Brief & operate — Train the team and coordinate live arrival issues.
- 6. Reconcile & close — Deliver agreed aggregate reports and follow retention/deletion instructions.
Common project questions
Can you work with our current registration provider?
Yes, subject to its supported interfaces and permissions. We integrate its supported registration and admission functions with the on-site workflow.
Do you sell tickets or process payments?
This scope is registration and check-in coordination. Ticket sales, payments, refunds and settlement remain with the organiser and its provider.
Will check-in work without internet?
Only if the chosen system supports an approved offline workflow. We test its behaviour and agree a manual fallback; offline capability is not assumed.
What analytics can you provide?
Agreed aggregate check-in and attendance reports supported by the selected system. The report distinguishes recorded attendance from queue observations and defines the coverage of each measure.
