A conference in Riyadh is judged in the first five minutes. If the opening video plays cleanly, the keynote speaker can be heard in every row, the Arabic and English audiences both follow the content, and the stage looks like it belongs to your organisation, the room settles and listens. If any of those fail, delegates notice. Conference production is the work of making sure they do not fail, and it is the work The Concept WLL does from our production house in Riyadh.

We are an event production and exhibition company headquartered in Manama, Bahrain, with a Riyadh production house serving clients across the Kingdom. This page explains what conference production and AV services cover, how we plan a conference from brief to show day, which decisions drive cost, and what to send us so a proposal reflects your real venue, agenda and audience. It is written for event owners, communications teams, government and association organisers, and agencies who need a dependable technical partner.

What conference production covers

Conference production brings together everything the audience sees and hears: the stage, screens, sound, lighting, cameras, content playback, interpretation and the people who run them. Treating these as one system, rather than separate rentals, is what keeps a programme on time. The stage designer knows where the cameras need to stand, the sound engineer knows where the interpretation feed comes from, and the show caller has one script that ties every cue together.

We take responsibility for that system. We design it around your agenda and venue, specify and supply the equipment through our production team and trusted suppliers, build it in the room, rehearse it with your speakers and run it live.

Plenary and keynote sessions

Main-stage design, LED or projection, lectern and panel set-ups, confidence monitors, timers and camera coverage for image magnification on the screens.

Panels and fireside chats

Seating layouts, microphone plans for every speaker, audience question microphones and lighting that works for both the room and the cameras.

Breakout and workshop rooms

Smaller technical packages for parallel sessions, with consistent branding, presentation switching and a technician on call.

Award segments and ceremonies

Walk-up music, stage lighting states, winner graphics and a tightly cued running order.

Conference stage design for Riyadh venues

Stage design starts with the room. A hotel ballroom has a fixed ceiling height, chandeliers and limited rigging; a purpose-built conference centre or exhibition hall offers more height and power but a much larger space to fill. We visit or review drawings of the venue, then decide stage height, width and depth, screen size and position, and where lighting can be hung so that faces are lit without glare.

The design then carries your identity: set pieces, branded fascia, screen content templates and lectern graphics prepared in both Arabic and English where the programme needs it. Sightlines are checked from the back corners of the room, and camera positions are planned at the same time, because a stage that looks good to the audience but cannot be filmed well wastes half of its value once the session goes online.

Conference AV services: screens, sound and lighting

Screens are usually the biggest visual decision. LED walls give brightness, seamless widescreen formats and flexibility in a lit room; projection can suit lower budgets or very wide surfaces. We recommend based on the room, the content and the viewing distance, and we prepare content templates so presentations, speaker names and holding slides all look consistent.

Sound is where conferences most often fail. Delegates forgive a plain stage; they do not forgive a speaker they cannot hear. We plan speaker coverage for the whole room, delay speakers for deep spaces, enough wireless microphones with frequency planning for busy venues, and separate feeds for interpretation, streaming and recording. Lighting is designed for faces first, then for atmosphere, so presenters look natural on camera and on the screens.

Playback and presentation control

Dedicated playback for videos and slides, a backup machine running in parallel and a clear process for receiving speaker files before the day.

Cameras and image magnification

Camera positions, a vision mixer and operators so that people at the back see speakers clearly on the main screens.

Recording

Clean recordings of each session for later editing and publication, with audio taken directly from the mixing desk.

Arabic–English interpretation and multilingual audio

Many Riyadh conferences run in two languages. Simultaneous interpretation needs soundproof booths placed with a clear view of the stage, interpreter consoles, a distribution system to delegate receivers or a mobile app, and a clean feed from every microphone. We plan booths and receivers into the floor plan from the beginning, rather than squeezing them in at the end, and coordinate closely with your interpretation provider on technical requirements.

On screen, we prepare bilingual templates for speaker names, session titles and holding slides, with right-to-left Arabic typesetting handled correctly. Where sessions are streamed, viewers can be given a choice of language channel.

Hybrid conferences and live streaming

A hybrid conference has two audiences, and the online one is less patient. We plan camera angles, graphics, audio mixes and a stream to your chosen platform, with a test of the full chain before doors open. Remote speakers join through a managed connection with a technician watching their audio and video, so a weak link is noticed in rehearsal rather than live.

Venue internet is often the weakest part of a hybrid plan, so we confirm a dedicated connection with the venue early and discuss backup options. Recordings are captured locally regardless of the stream, so content is never lost.

Show calling, rehearsals and speaker support

The show caller runs the conference from a single script that lists every cue: walk-up music, lighting changes, video rolls, slide changes, microphone states and timings. Speakers are briefed, presentations are loaded and checked, and the technical team rehearses openings, transitions and award segments before the audience arrives.

A speaker-ready room lets presenters check their slides and walk through their entrance. Confidence monitors and timers on stage help them keep to time, which protects the rest of the agenda. When a session overruns or a speaker changes at the last minute, the show caller adjusts the running order with your event lead without the audience noticing.

How we plan a Riyadh conference production

Planning works backwards from the event day. Venue access windows, rigging approvals, power, freight and crew are scheduled so that the room is built, tested and rehearsed with time to spare. We work with the venue’s technical and events teams on load-in routes, ceiling points and safety requirements, and we confirm what the venue supplies in-house so you do not pay twice.

Riyadh hosts conferences in hotel ballrooms, purpose-built conference centres such as the conference facilities at the King Abdullah Financial District, and large halls such as Riyadh Front Exhibition & Conference Center. Each has its own rules, and we design to them from the first drawing.

What drives cost

Room size and screen area, the number of parallel rooms, camera and streaming requirements, interpretation, build days needed in the venue and the length of the programme.

What to send for a proposal

Event dates, venue and room names, expected attendance, the draft agenda, languages, whether sessions are streamed or recorded, branding guidelines and a budget range.

Conference production in Riyadh: frequently asked questions

Do you supply the AV equipment or only manage it?

Both. We specify the full technical system, supply it through our production team and trusted suppliers, install it and run it with our crew, so you have one point of responsibility.

Can you work in a hotel ballroom with limited rigging?

Yes. We design to the room, using ground-supported structures, appropriately sized screens and lighting positions the venue allows, and confirm everything with the hotel’s events team in advance.

Do you provide interpreters?

We provide the technical side of interpretation: booths, consoles, distribution and audio feeds. Interpreters are usually booked through your chosen language provider, and we coordinate closely with them.

Can you stream the conference online?

Yes. We plan cameras, graphics, audio and a stream to your platform, connect remote speakers and record every session locally as a backup.

How early should we contact you?

As soon as the venue and dates are confirmed. Earlier contact gives more options on venue access, equipment and rehearsal time, especially in busy months of the Riyadh events calendar.

Do you also handle stage design and branding?

Yes. Stage design, set build, branded fascia and bilingual screen templates are part of our conference production work.
