Event Production Company in Riyadh
Technical production for conferences, launches, galas and live shows: stages, screens, sound, lighting, rigging and show control, run from our Riyadh production house.
The Concept WLL is an event production company with a production house in Riyadh. This page is about the technical side of an event: the stage and set, the screens, the sound and lighting, the rigging that holds it up and the show control that makes it run on cue. If you are looking for overall event planning, venue sourcing and guest management, our Riyadh event management page covers that service.
Production clients usually come to us with one of two briefs. Some have an event plan, an agency or an internal events team and need a production partner to design and deliver the technical show. Others want planning and production together. Either way, the questions on this page are the ones that decide whether a show runs smoothly: what equipment the content and room really need, what the venue allows, and how much time the build and rehearsal schedule must protect.

Stage and set construction
The stage is the frame for everything the audience sees. We design stages and sets around the sightlines of the room, the content on screen and the way presenters, performers or products move on and off. That includes stage decks and risers, set walls and scenic elements, lecterns, reveal mechanisms, presenter entrances and the masking that hides technical areas.
Set elements are designed, engineered and produced through our Riyadh production house and transported to the venue for installation. Drawings and structural information are prepared for venue approval, and finishes are chosen with the camera in mind when the event is filmed or streamed.
LED screens and video systems
Video is usually the largest technical element of a modern event. We specify LED walls, projection or a combination based on the viewing distance, ambient light, content format and the size of the room, rather than on the biggest screen that fits. Pixel pitch, screen ratio and placement are agreed with the content team early so graphics are built at the correct resolution.
Behind the screens sits the video system: media servers or playback machines, switching between sources, presenter confidence monitors, camera feeds for image magnification, and recording or streaming outputs where needed.
Audio systems
Good audio is mostly invisible. For conferences that means clear, even speech coverage across every seat, reliable wireless microphones and a monitoring plan for presenters. For galas, launches and performances it means a system sized for music, playback and live performance without overpowering the room.
We plan the system to the room, the programme and the venue’s acoustic and noise rules, including microphone counts, playback, interpretation feeds and recording.
Lighting design
Lighting turns a hall into a set. Our lighting plans cover presenter and stage lighting that looks right on camera, architectural washes for the room, effect lighting for reveals and entertainment, and the control needed to move between programme moments on cue. Where the event is broadcast or streamed, light levels and colour temperature are set for the cameras as well as for the room.
Rigging and structures
Anything suspended above guests, including lighting trusses, screens, speakers and scenic pieces, needs a rigging plan: load calculations, rigging points, motors or hoists and certified hardware, prepared for the venue’s technical team to review. Ground-supported structures are used where the venue has no suitable roof points or where approval for suspended loads is not available.
Rigging approval sits with the venue, and at exhibition centres often with the organiser as well, so we submit early and design so the show still works if a point is refused.
Show control and the production team
Show control brings every department together. A show caller runs the event from a cue script, calling lighting, sound, video, stage management and any special effects in sequence, while department operators run their systems. For more complex shows, timecode or a show-control system can trigger sequences automatically.
Behind the front of house, a production manager owns the schedule, the crew plan, safety and the relationship with the venue’s technical team, so you have one person responsible for the technical delivery.
Technical rehearsals and production schedules
A production schedule is worked back from the moment doors open. It sets the load-in window, rigging, set build, system installation, focusing and programming, line checks, technical rehearsal and dress rehearsal, then the show and the load-out. The most common risk in event production is not equipment failure but a schedule that leaves no time to rehearse.
We protect rehearsal time in the plan and agree it with presenters, performers and the client team in advance, so cues, walk-ons, video playback and transitions have been run at least once before guests arrive.
Riyadh venues: RICEC, Riyadh Front and Malham
Riyadh’s large exhibition and conference venues each set their own rules, and for exhibitions the organiser’s exhibitor manual governs schedules, contractor access and technical requirements. We confirm power, rigging, access and build windows for your specific event rather than working from general assumptions.
RICEC
Riyadh International Convention & Exhibition Center is one of the city’s larger multi-hall venues, often with co-located events, so build windows and loading access are shared across contractors.
Riyadh Front
Riyadh Front Exhibition & Conference Center hosts a wide range of trade shows and conferences. Drawings, safety documents and separate approval for suspended elements are part of the usual process.
Riyadh Exhibition and Convention Center (Malham)
A large venue north of the city. Its location affects crew travel, delivery slots and show-day support, so transport and on-site storage are planned around the build schedule.
Hotels and private venues
Ballrooms and private venues have their own ceiling heights, power, load-in routes and in-house AV rules, which we review from floor plans and technical riders.
Power, safety and technical documentation
Every production depends on power that is planned rather than assumed. We calculate the load for video, lighting, audio and set elements, agree the distribution with the venue’s electrical team, and specify generators or temporary distribution where the venue supply is not enough or the event is outdoors. Cable routes are planned so they are safe for guests and do not block exits.
Venues and organisers in Riyadh usually ask for a technical pack before build: stage and set drawings, rigging plans and calculations, electrical loads, a method statement for build and dismantle, risk assessments, equipment certificates and crew lists for access. We prepare this pack as part of the production, because late or incomplete documents are one of the most common reasons build windows are lost.
Content and production working together
Screens, lighting and sound only work as well as the content and the cues they serve. We agree the screen layout, resolution, file formats and delivery deadlines with your content team or agency early, run a content check on the actual system before rehearsal, and keep a playback backup ready for every video cue. Presenter slides are collected in advance and tested on the show machines, so changes on the day are managed rather than improvised.
What affects cost and delivery
Production budgets are driven by a handful of decisions: the size and resolution of video surfaces, the amount of custom scenic build, the number of rigging points and structures, the size of the audio and lighting systems, the number of crew and shifts, and the length of the build, rehearsal and show schedule. Event dates matter too, because demand for crews and equipment in Riyadh rises during major seasonal and city-wide events.
We provide an itemised production estimate so you can see where the budget goes and where there is room to adjust, and our guide to what an event production bill of quantities should include explains how to compare quotes.
Production handover: keep the final programme in control
For a Riyadh production with several presenters or departments, appoint one client content owner and one production lead. Agree how final slides, videos and running-order changes are approved and distributed. A replacement file should carry a clear version name and reach every playback machine that needs it. Keep a record of the approved screen layout, audio feeds and rehearsal changes so an operator does not have to choose between conflicting instructions on show day.
A technical handover should also identify who supplies venue power, internet, rigging points and security, and who can approve overtime or a programme extension. These interfaces are especially important where several events share loading or rehearsal access. Confirm the final removal deadline, recording deliverables and material storage responsibilities before the show opens. This keeps the technical production package distinct from guest management while giving your internal team a reliable point of coordination.
Frequently asked questions
What is the difference between event production and event management?
Event production is the technical delivery: stage, set, screens, sound, lighting, rigging and show control. Event management covers planning, venue sourcing, suppliers and guests. We offer both, and our Riyadh event management page explains the planning service.
Can you work with our agency or an existing event plan?
Yes. We often act as the production partner for agencies and internal event teams, taking a creative and content plan and delivering the technical show.
Do you produce events at RICEC, Riyadh Front and Malham?
We deliver production for clients at Riyadh venues. Technical rules, power and rigging approvals are set by each venue and, for exhibitions, by the organiser, so we confirm them for your specific event.
How much time do we need for build and rehearsal?
It depends on the show. A conference stage may need a day of build and a rehearsal session; a large launch or gala with suspended rigging and custom set can need two or more days before doors open.
Can you stream or record the event?
Yes. Camera, recording and streaming outputs can be built into the video system, with lighting set for camera as well as the room.
Where is the production prepared?
Production is prepared through our production house in Riyadh and transported to your venue for installation, rehearsal and the show.
