Hajj Conference exhibition stand design is about being found and trusted in one of the busiest halls of the Saudi calendar. Government bodies, transport and hospitality operators, technology companies, service providers and international delegations all come to present how they will serve pilgrims in the next season. The Concept WLL designs, fabricates and installs exhibition stands for these exhibitors, working from our Saudi production base and installing in Jeddah.

The Ministry of Hajj and Umrah announced that the 6th Hajj Conference and Exhibition takes place from 8 to 11 November 2026 in Jeddah, under royal patronage and in cooperation with the Pilgrim Experience Program. The ministry describes it as an early milestone in preparations for the Hajj season of 1448 AH, bringing stakeholders together to sign contracts, showcase solutions and build partnerships.

We are an independent stand contractor working for exhibitors. We are not the organiser, an appointed contractor, a partner or a sponsor of the event, and we build to the exhibitor manual the organiser issues.

What exhibitors need from a Hajj Expo booth

This is a show where deals are signed and services are judged. A stand has to communicate scale and reliability, carry a clear story about the pilgrim journey your organisation supports, and give senior visitors a dignified place to meet.

A clear story of the service

Whether you move pilgrims, house them, feed them, connect them or manage their data, visitors should see in seconds which part of the journey you cover. We design walls and screens around that one message.

Space for agreements and senior meetings

Contract signings and delegation visits are central to this event. We plan majlis-style seating, meeting rooms and a backdrop for signing photos where the stand size allows.

Bilingual graphics

Arabic and English copy laid out properly from the start, with right-to-left typography handled by our design team rather than added at the end.

Respectful, considered design

The subject calls for a calm, well-made stand. We favour quality finishes, measured lighting and restraint over loud effects.

Stand types we build for the Hajj Conference

Exhibitors range from large government entities to specialist suppliers. We design for the space you book and the meetings you plan.

Custom stands on raw space

Built from scratch with joinery, flooring, lighting, storage and meeting areas. The usual choice for operators and service companies.

Large pavilion-style stands

For entities presenting several services or partners, with zones for each and a shared reception and signing area.

Shell scheme upgrades

Custom walls, counters, lighting and screens on the organiser's shell space for smaller suppliers and start-ups.

Technology demonstration stands

Screens, interactive kiosks and demo counters for digital services, apps and smart systems, with power and data planned in.

Exhibition stand design in Jeddah: logistics and timing

Building a stand in Jeddah means planning transport, access and build-up windows carefully. We fabricate components in our own workshop, pre-assemble where it helps, and move the stand to the venue ready to build, so the on-site work is predictable.

The exhibitor manual sets the rules: build-up and breakdown times, stand height limits, rigging, electrical orders, fire safety and drawing deadlines. We work from it once you share it and prepare the drawings and documents the organiser asks for. We do not assume venue rules; they come from the organiser and venue.

For timing, a custom stand for an event opening on 8 November 2026 needs a confirmed space, a brief and an approved concept several weeks ahead, to leave room for revisions, organiser approval and fabrication. If your space is confirmed, the best next step is to send us the floor plan.

Event production on and around the stand

Many exhibitors run more than a stand during the four days. We produce the moments that sit alongside it, with the same team and the same visual language.

Signing ceremonies

Backdrop, table set-up, lectern, lighting and sound for agreement signings and media photos.

Stand presentations

Small stages, screens and sound for scheduled talks and product demonstrations on larger stands.

Hospitality and VIP visits

Majlis seating, refreshments areas and arrival points for delegations and senior guests.

Side events in Jeddah

Briefings, dinners or partner gatherings in a hotel or venue, with staging, AV and décor.

Brand experience for a service-led audience

Most Hajj Conference exhibitors sell services, not boxes. The stand becomes the product. Interactive screens that walk a visitor through the pilgrim journey, short films, maps, scale models of facilities or vehicles, and live dashboards all help a service feel real.

We build these into the structure rather than placing loose screens around the space, so the stand stays tidy through four long days. Content itself comes from you or your agency; we make sure the screens, sizes and positions suit it.

Planning checklist for Hajj Conference exhibitors

A few decisions, made early, keep a stand project calm. These are the questions we usually work through with exhibitors in the first call.

Who you most want to meet

Ministries and authorities, Hajj service companies, international missions, or technology buyers. The answer shapes how open or private the stand should be.

What visitors should leave with

A meeting booked, a demo seen, an agreement signed or a clear understanding of one service. One goal per stand keeps the design focused.

How many people will staff it

Staff numbers decide counter lengths, storage, seating and where team members stand without blocking the aisle.

What has to be shown physically

Vehicles, kiosks, equipment or models change floor loads, power and access. We plan these first, then design the rest around them.

Whether the stand will be reused

If you exhibit at other Saudi shows, we can design a core structure to store and rebuild with new graphics, which helps the budget over a year.
