Exhibition Stand Builders in Dubai
Custom exhibition stands for Dubai trade shows, from the first 3D concept and organiser approvals to installation, show support and dismantle.
The Concept WLL designs and builds exhibition stands for companies exhibiting at trade shows in Dubai. We take a stand from brief and 3D concept through technical drawings, organiser and venue approvals, fabrication, graphics, AV, installation, show-day support and dismantle, with one project manager responsible from start to finish.
Dubai hosts some of the largest trade shows in the region, and exhibitors there compete for attention with hundreds of other stands in the same hall. This guide explains what makes a stand work at a Dubai show, how venue rules and deadlines shape the schedule, what drives cost, and how we deliver Dubai projects from our Bahrain headquarters and Riyadh production house.

What makes a Dubai trade show stand work
A stand has a few seconds to tell visitors who you are and why they should step in. The strongest stands at Dubai shows are built around one clear message, a layout that invites people in rather than blocking them, good lighting that makes products and graphics readable, and enough meeting space for the conversations that actually produce business.
We start every design with your objectives: is the stand for lead generation, product demonstrations, distributor meetings, brand presence or a launch? The answer decides how much space goes to open display, demo areas, storage, a reception counter, private meeting rooms or a hospitality bar.
Stand types we design and build
The right construction depends on your space, budget, brand and how often you exhibit.
Custom-built stands
Bespoke structures and joinery designed for your brand and space, suited to companies that want a distinct presence at a key show.
Modular and reusable systems
Systems that can be reconfigured for different stand sizes and reused across several shows, which can lower the cost per event over a year.
Double-deck stands
Two-level structures for large island spaces where meeting rooms or hospitality are needed above the main floor. These need structural calculations and longer approval time.
Country and group pavilions
Pavilions that bring several exhibitors under one identity, with shared reception, meeting and branding areas.
Shell-scheme upgrades
Graphics, furniture, lighting and display upgrades for organiser-supplied shell-scheme booths.
Interactive and AV-led stands
LED walls, touchscreens and digital demonstrations integrated into the stand design.
Dubai venues and organiser rules
Most large Dubai trade shows take place at Dubai World Trade Centre or at Dubai Exhibition Centre in Expo City Dubai. Each venue and each organiser publishes an exhibitor manual covering build-up and dismantle windows, maximum heights, rigging, electrical requirements, flooring, fire safety and the deadlines for submitting stand drawings.
Venues and organisers also have their own contractor registration and approval steps. We read the manual for your show at the start of the project, prepare the drawings, structural details and electrical plans required for approval, and plan crew shifts around the venue’s access times. Exact requirements differ by show and edition, so we confirm them for each project.
Major Dubai shows we prepare stands for
Dubai’s calendar includes large technology, healthcare, security, construction and automotive aftermarket shows. We have dedicated planning guides for exhibitors at several of them, including GITEX Global, WHX Dubai, Intersec, Big 5 Global and Automechanika Dubai. Each guide covers what that audience expects from a stand and what to plan for. Dates, venues and rules are set by each organiser and should always be checked on the official show website.
The Concept WLL is an independent stand contractor. We are not the organiser of these shows and do not claim official contractor status unless an organiser has confirmed it for a specific edition.
Our process and timeline
Build the programme backwards from your organiser’s drawing deadlines and official access windows. Design complexity, structural review, artwork, fabrication and transport all affect the time needed; a fixed lead time cannot replace the current show schedule. Here is how the work is sequenced.
- Brief: show, stand number and size, open sides, objectives, products and budget range.
- 3D concept and itemised quotation for review.
- Design development and revisions, including graphics and AV content.
- Technical drawings and submission to the organiser and venue for approval.
- Fabrication, finishing and pre-build checks before transport.
- Installation during the official build-up window, with final snagging.
- Show-day support for technical issues and small fixes.
- Dismantle and removal within the venue’s break-down window.
What drives the cost of a stand in Dubai
The main factors are stand size and number of open sides, the type of construction, finish level and materials, the amount of AV and lighting, double-deck structures, furniture and storage, and logistics. Organiser and venue charges, such as electrical connections, rigging, cleaning and badges, are usually billed separately by the organiser or venue and should be included in your overall budget.
We provide itemised quotations so you can see each element and decide where to invest and where to save. If you plan to exhibit at several shows, ask us to price a reusable design across the year as well as a one-off build.
How we deliver Dubai stands
The Concept WLL is headquartered in Bahrain with a production house in Riyadh, and we do not have a Dubai office. Our project managers lead design and technical approvals from those bases, coordinate production and logistics, and are on site in Dubai for installation, the show and dismantle. Where a show or venue requires appointed or locally registered contractors for specific works, we work with them as required.
This model suits exhibitors who show in Dubai, Riyadh, Jeddah, Abu Dhabi and Bahrain and want the same design team and the same standards across all of them.
What to send us
To prepare a useful first concept and quotation, please share:
- Show name, dates and your stand number if allocated
- Stand size and number of open sides, ideally with the floor plan
- Your objectives and the products or services to feature
- Budget range and any must-have elements such as meeting rooms or storage
- Brand guidelines and any previous stand designs you liked
Getting qualified leads from a Dubai stand
At large Dubai shows, visitors walk past hundreds of stands. Before the show, invite key buyers to book meetings and agree what a qualified lead looks like. On the stand, keep the entrance open, make your offer readable from the aisle, and give your team a quick way to record visitor details and the agreed next step. After the show, follow up within days and measure which conversations became opportunities, so you can judge the show and the stand format for the next edition.
Ordering DWTC services without duplicating the show manual
Dubai World Trade Centre’s official exhibitor guidance names the event organiser as the first point of contact and directs exhibitors to the event portal or manual. Its Event Plus platform offers additional services for participants registered to a particular show. Use the current show instructions to decide what is ordered through the organiser, venue or stand contractor; do not assume an order for one edition carries across to another.
Before approving a design, reconcile the stand allocation with the service plan. Confirm power needs, screen positions, storage, display access and any structural review required by the chosen format. Record service-order owners and approval status separately from design approval. This helps avoid gaps where a finished stand is waiting for a connection or permission that was never included in the contractor’s scope.
Match the booth to the show audience
For GITEX, plan how a visitor can see a short technology demonstration and move into a business discussion. Healthcare exhibits at WHX may need space for equipment explanation and scheduled conversations. Security displays at Intersec should make the application clear, while Automechanika exhibitors may need robust product supports and room for technical questions. These are planning considerations, not claims about an organiser appointment or previous projects.
The existing show guides below hold their own edition-specific information, so this city page does not duplicate dates or venue details. Use the separate Dubai stand-cost guide to structure budget questions rather than treating a generic square-metre figure as a quotation. Share the relevant show, current floor plan and exhibitor manual when requesting a proposal, then compare options against the same display, meeting and support requirements.
Frequently asked questions
How early should we book a stand builder for a Dubai show?
Brief the team once your allocation is available. Confirm the current organiser’s submission and access dates, then allow for design, reviews, fabrication, artwork and transport. Complex structures may require additional preparation; no fixed lead time applies to every show.
Do you have an office or workshop in Dubai?
No. We are headquartered in Bahrain with a production house in Riyadh. Our team manages design and approvals from those bases and is on site in Dubai for build-up, the show and dismantle.
Can you handle organiser and venue approvals?
Yes. We prepare the drawings, structural details and electrical plans required by the exhibitor manual and submit them for approval. Requirements differ by show, so we confirm them for each project.
Can our stand be reused at other shows?
Yes, if it is designed for reuse from the start. A modular or reconfigurable design can be adapted to different stand sizes for later shows in the Gulf.
Are organiser charges included in your quotation?
Organiser and venue services such as power connections, rigging points and cleaning are normally ordered from and billed by the organiser or venue. We list what will be needed so you can budget for it.
Do you also build stands in Abu Dhabi and Sharjah?
Yes. See our pages for exhibition stand builders in Abu Dhabi and Sharjah, and our GCC overview for shows across the region.
