Event Management Company in Abu Dhabi
Conferences, gala dinners, ceremonies and launches for government, energy and corporate audiences in the UAE capital, planned and produced by one team.
The Concept WLL plans and produces events in Abu Dhabi for organisations that need a careful, well-organised result: conferences and forums, official ceremonies, gala dinners, product launches and partner events. We manage the brief, concept, venue coordination, staging, audio-visual production, protocol-sensitive guest flow and live show delivery.
Abu Dhabi has a different event culture from Dubai. As the capital, it hosts many government, diplomatic, energy and investment audiences, and its events tend to place more weight on protocol, precision and a calm, polished guest experience. This page explains how we plan for that, the formats we deliver, how venues such as ADNEC Centre Abu Dhabi shape the schedule, and how to start a project with us.

Events for the capital’s audiences
Many Abu Dhabi events involve senior officials, government entities, sovereign and institutional investors, energy companies and their supply chains. These audiences expect punctual programmes, correct seating and precedence, discreet hospitality and production that supports the content rather than distracting from it.
We plan these events with a clear run-of-show, rehearsed transitions, reserved VIP arrivals and holding rooms, and a single on-site lead who coordinates with the client’s protocol team, the venue and security. Where specific protocol rules apply, the client or host entity sets them and we build them into every part of the plan.

Planning around ADNEC and the big show weeks
ADNEC Centre Abu Dhabi is the city’s main exhibition and convention venue and hosts large international shows, including ADIPEC for the energy industry. During major show weeks, hotels, ballrooms, transport and production crews across the city are in high demand, and companies often want a dinner, reception or client meeting alongside their stand.
If your event falls in one of those weeks, we recommend confirming the venue and hotel arrangements early and planning the side event and the stand together, so build-up crews, deliveries and timings do not compete. Our ADIPEC stand page explains how we approach exhibiting at that show.
Venues across Abu Dhabi
Beyond ADNEC, Abu Dhabi offers hotel ballrooms and conference centres, waterfront and island venues on Yas and Saadiyat, cultural venues and desert locations within reach of the city. Each brings its own rules on build-up times, rigging, power, catering and noise.
We assess those rules at the start and design the production around them. Outdoor venues in particular need a full plan for flooring, temporary structures, power, lighting, weather and guest comfort, especially outside the cooler months.
Permits and approvals
Events in Abu Dhabi may need permits depending on their format, location and audience. Events open to the public, outdoor events, ticketed events and events with entertainment typically involve the relevant Abu Dhabi authorities, while private corporate events inside licensed venues are often handled through the venue’s own arrangements.
Because requirements change and depend on the details of each event, we confirm them per project with the venue and the issuing authority and build the approval steps into the timeline. We do not hold permits on behalf of clients in advance, and we will tell you plainly if a requirement affects your dates.
Our process from brief to delivery
A clear process keeps senior stakeholders informed and decisions on time.
- Brief: objectives, audience, guest numbers, dates, protocol needs and budget range.
- Concept and itemised proposal, with venue options and a production outline.
- Venue confirmation, supplier contracts and technical riders.
- Design development: stage, set, branding, content and seating plans.
- Approvals from the venue, and permits where the format requires them.
- Build-up, technical checks and full rehearsals with presenters.
- Live delivery with a single show caller and on-site lead.
- Dismantle, handover and a debrief.
Budgets and timelines
Costs in Abu Dhabi depend mainly on the venue and catering, the scale of staging and audio-visual production, custom-built set elements, guest numbers, entertainment and how long the venue allows for build-up. Major show weeks and short lead times push prices up.
Allow eight to twelve weeks for a conference or gala dinner and longer for official ceremonies with multiple stakeholders, outdoor events or multi-day programmes. We provide itemised budgets so you can see where the spend goes and adjust scope early.
How we work from Bahrain and Riyadh
The Concept WLL is headquartered in Bahrain with a production house in Riyadh, and we do not have an office in Abu Dhabi. Our project managers lead planning from those bases and are on site in Abu Dhabi through build-up, rehearsals and the event itself, working with venue-appointed contractors and licensed local suppliers where needed.
For organisations that run events in both Saudi Arabia and the UAE, that means one team, one planning standard and one point of contact across the region.
Guest experience and on-site delivery
Abu Dhabi audiences notice the details. We plan arrivals so VIP and general guests move smoothly, with clear signage, a fast registration desk, cloakroom and holding areas where needed, and seating that respects precedence. Transport between hotels, venues and dinner locations is scheduled around the programme, with buffers for traffic and security checks.
On the day, one show caller runs the programme from the control position, cueing speakers, video, lighting and sound, while an on-site lead coordinates with the venue, security, catering and your team. Rehearsals with presenters and protocol staff before guests arrive are standard on our events, because they remove most of the risks that cause visible delays.
After the event, we dismantle within the venue’s time limits and share a debrief covering what worked, what to change and any guest feedback you collected.
Combining Abu Dhabi with Dubai and Saudi Arabia
Many organisations run events in more than one Gulf city in the same year: a conference in Abu Dhabi, a client dinner in Dubai and a stand at a Riyadh exhibition, for example. Planning them together keeps branding consistent, allows set and stand elements to be designed for reuse and gives you one partner responsible for the whole programme.
Frequently asked questions
How is event planning in Abu Dhabi different from Dubai?
Abu Dhabi hosts more government, diplomatic, energy and investment audiences, so events often place greater emphasis on protocol, precedence, punctuality and discreet hospitality. Dubai has a larger share of consumer, lifestyle and international sales events.
Do you have an office in Abu Dhabi?
No. We are headquartered in Bahrain with a production house in Riyadh. Our project managers are on site in Abu Dhabi for build-up and delivery.
Can you plan a side event during ADIPEC or another ADNEC show?
Yes. We can plan a dinner, reception or client meeting alongside your stand. Show weeks are busy, so we recommend confirming venues and hotels as early as possible.
Do you handle protocol for official guests?
We build the host entity’s protocol requirements into seating, arrivals, holding rooms, speaking order and timing, and coordinate closely with your protocol team. The protocol rules themselves are set by the host.
Do we need a permit for our event?
It depends on the event format, location and audience. We confirm the requirements for each project with the venue and the relevant authority and include the approval steps in the schedule.
What should we include in our first enquiry?
Event type and objectives, preferred dates, guest numbers, venue or preferred area, budget range and any protocol or brand requirements. That lets us return a useful first proposal.
